Scheduled report delivery

Last updated 2026-10-18

Reports landing automatically in your inbox is a Pro plan feature. From the Reports page, an admin selects Email Reports to open a config dialog and set up one schedule for the whole team.

Setting up a schedule

There's one schedule per team. In the Email Reports dialog, choose:

  • Saved reports — up to 6 reports saved from the Reports page (see Building a report). The list shows the team's shared reports under Team and your own private ones under Mine; the counter beside the label shows how many you've picked. A report that uses fixed dates (a custom "from – to" range) is listed but can't be picked — it would send the same rows every time. Open it on the Reports page and switch its dates to a rolling range such as Last 30 days or Next 90 days, and it becomes available here. A report set to Only my deals can't be picked either — the email has no "me" to narrow it to; turn that option off to schedule it. A private report you pick under Mine is sent to everyone on the schedule, not just you.

  • Standard reports — any combination of By Lead Source, By Rep, Closed P&L, Pipeline Forecast, Fallout, Workload, and Rep Comparison. These keep the names of the original report tabs; on the Reports page each one is now a TED starter with the same numbers — see Where the original reports went for which is which.

Pick at least one saved report or one standard report.

  • Cadence — Weekly (pick a day) or Monthly (pick a day of the month, 1–28).

  • Send time and timezone — defaults to your team's timezone (set on Settings > General), editable per schedule.

  • Recipients — anyone on the team who holds view or full Reports access (see Roles and permissions). Only these people can ever be picked — there's no way to email someone who doesn't already have report access in TED.

  • Enabled — turn off to pause delivery without losing the rest of the config.

Standard reports in a weekly email cover the trailing 7 days; in a monthly email they cover the prior full calendar month. A saved report always uses its own rolling range, worked out on the day the email goes out — a report set to Last 30 days shows the 30 days up to that send day. Every number in the email is computed the exact same way as the Reports page for that same range, so nothing you read in your inbox will disagree with what you see when you click through.

Among the standard reports, Pipeline Forecast is the one exception, because it looks ahead instead of back. Whatever the cadence, its section is headed Pipeline Forecast — Next 90 days and lists your open deals expected to close from the day the email is sent through 90 days out — the same range the Closing forecast (next 90 days) report uses on the Reports page. Open deals with no closing date are gathered into a No closing date — N deals row, and a period where some deals have no projected sale price shows N missing price next to its total. The email's built-in Pipeline Forecast section doesn't include open deals whose closing date has already passed. If you add a saved forecast report to the email, its section does show them, in its Overdue group; the Closing forecast (next 90 days) report on the Reports page shows them too.

What the email looks like

One email, with a table for each report you selected — standard reports first, then your saved reports in the order you picked them. Each table shows up to 8 rows, with a note and a link back to TED if there are more.

A saved report's section is headed with its name and description, then a line saying which dates it covers and how many rows matched (for example Last 30 Days · 23 deals · first 8 shown). A grouped report ends with a Total row. Below the table, the same notes you see under the report on the Reports page say what's blank — for example 2 deals have no closed date.

A View full reports in TED button at the bottom takes you straight to the Reports page.

What a saved report leaves out

The email is written once and the same copy goes to everyone on the list:

  • Net Company Profit never appears in a scheduled email. It's removed from the report's columns and totals for everyone; a saved report that filters or groups by it isn't sent.
  • Commissions and Bonus payouts reports are only included when every recipient is a team admin — what those reports show depends on who is looking.
  • A saved report that lists deals (one row per deal, not grouped) is only included when every recipient can see all of the team's deals. If anyone on the list sees only their own deals, it's left out; a grouped report of totals still goes out.
  • A private saved report is included when the person who saved it is one of the recipients — and then it's sent to everyone on the schedule.
  • A saved report set to Only my deals, one that's been deleted, or one that has since been switched to fixed dates is skipped.

A skipped report doesn't stop the rest of the email. If none of the reports on the schedule can be sent that period, no email goes out.

If the dialog says a report on the schedule isn't in your list, it was deleted or is another member's private report — select Remove it to take it off the schedule.

If your plan changes

If your team downgrades off Pro, an existing schedule is paused automatically — it won't send, even though the configuration is still there. Upgrading back to Pro resumes it on the next scheduled send. If someone's report access is removed after a schedule was set up, they stop receiving it on the very next send — recipients are re-checked every time, not just when the schedule was saved.

Who can see this

Setting up or changing the schedule requires the team Admin role. Being a recipient only requires Reports access (view or full) — see Roles and permissions. See Choosing a plan and managing billing for what else is on the Pro plan.
