TED's Settings has a Billing section (under Settings > Billing — visible to team admins and your account owner) where you can see your org's current plan and, if you're the account owner, start a subscription.
Choosing a plan
A brand-new organization lands on the plan picker automatically right after signup — see Creating an account — and can't get into the workspace until a plan is chosen. The heading there reads "Start your 30-day free trial" instead of the generic "Choose a plan."
If you clicked "Start free" on a specific tier from the pricing page, you (the account owner) skip straight to Stripe checkout for that tier — no need to pick it again. A "Taking you to checkout for {Plan}…" message is shown while that happens, along with a "Change plan" link; select it to cancel and see the normal picker instead, with that tier still highlighted Recommended. Without a plan already picked, or if you're not the account owner, you'll see the normal picker directly — you can still pick any tier.
From Settings > Billing, select Choose a plan to open the same picker at any time afterward (for example, after a subscription lapses). Three self-serve tiers are available — Starter, Scale, and Pro — each shown with a monthly price and a toggle to switch to annual billing, which works out to 2 months free compared to paying monthly. Starter includes 5 open deals, Scale includes 25 active deals, and Pro is unlimited. If your org is already on a plan (trialing, active, or past due), that tier's card is marked Current plan and its button reads Current Plan and can't be selected — the other tiers read Switch to Starter, Switch to Scale, or Switch to Pro (see "Switching plans" below). If you need a second team in your organization, are a title company or transaction coordinator running deals for multiple client companies, or otherwise need custom terms, the Enterprise card links to contacting sales instead of a plan you can pick yourself.
What each plan includes
Beyond deal and seat counts (see Deal and seat limits on your plan), a few features are only available on certain plans:
- Scale and Pro add automatic triggers for automators — starting a workflow the moment a deal reaches a certain stage or status, an offer changes, or a date is reached, instead of only starting it by hand. See Publishing an automator.
- Pro adds Approvals (a step in an automator that needs a second person's sign-off before the run continues — see Completing tasks and approvals), Manager Analytics reports, Deep reasoning mode in Ask TED (see Using Ask TED to build or edit an automator), and scheduled report emails — a weekly or monthly summary delivered automatically to everyone with report access (see Scheduled report delivery).
- Enterprise is the only tier that includes a second team in your organization (see Managing your organization's teams) — it's not self-serve, so unlocking it means contacting sales, not upgrading through checkout.
Anywhere one of these is locked, you'll see it grayed out with a small Pro (or Scale) badge, or an upsell card explaining what plan it needs — for a second team specifically, the card's button opens an email to sales instead of the plan picker, since Enterprise has no self-serve checkout.
If a feature is locked even though your current plan includes it (for example, Bonus Plans on a Pro plan), the card reads "{Feature} isn't turned on for your account" instead of asking you to upgrade. That means something's wrong with how your plan is set up on our side — select Contact Support to open a support chat with a message already filled in, and we'll turn it on. Anyone on the team can do this; it isn't a billing change.
Select Choose Starter (or Choose Scale / Choose Pro) to start checkout. You'll be taken to a secure Stripe checkout page to enter payment details — every plan starts with a 30-day free trial, and you won't be charged until the trial ends. Your account's billing email is filled in for you, and Stripe sends receipts and billing emails there. After checkout, you're returned to Settings > Billing, which briefly shows "Setting up your subscription…" while your plan finishes activating — usually just a few seconds. Once it's ready, a "Go to your dashboard" button appears — select it to head into your workspace. If activating takes longer than expected, a "Try the dashboard" link appears instead after about 30 seconds; nothing has gone wrong, and it's safe to select — you'll be brought right back here if your plan genuinely isn't ready yet.
Switching plans
Once your org has a plan, change it from Settings > Billing — select Change plan (next to Manage billing) to open the plan picker. The plan you're on is marked Current plan; every other tier has a Switch to {Plan} button. The Monthly / Annual toggle starts on the way you're billed today, so an annual subscriber sees annual prices.
To change how often you're billed on the plan you already have, flip the toggle: your plan's card then reads "Current plan, billed monthly" (or "annually") and its button changes to Switch to annual billing (or Switch to monthly billing), which opens the same confirm window. Flip the toggle and pick a different tier to change both at once.
Select Switch to {Plan} and a confirm window opens. Stripe works out the price, and the window shows:
- Plan — your current plan and the new one, with the new plan's price.
- Extra seats — what happens to any extra seats you bought, for example "3 extra seats at $59/mo → 0 extra seats, Pro includes 12." (See Deal and seat limits on your plan.)
- Charged today — usually $0: the difference is prorated onto your next invoice. Switching between monthly and annual billing (outside a free trial) restarts your billing period, so that amount is charged right away, minus a credit for the unused part of your current plan. Going from annual to monthly, that credit is often bigger than the first month — you're charged $0 today and the window shows the rest as "{amount} credit applied to future invoices," which Stripe uses up automatically.
- Next invoice — the amount and date of your next invoice, including any prorated charge or credit for the rest of this billing period.
While you're on your free trial, the window also says "Your free trial keeps running until {date} — nothing is charged before then." Switching plans mid-trial keeps your trial end date. Nothing changes until you select Confirm switch to {Plan}; Keep current plan closes the window. Once you've confirmed, the window stays open until Stripe answers, so you always see whether the switch went through.
After you confirm, you're taken to Settings > Billing, which shows "Switching you to {Plan}…" for a few seconds and then "You're on {Plan} now." If the switch takes longer than about 30 seconds, you'll see "Your plan change is still processing — refresh this page in a minute to see your new plan." Nothing has gone wrong; the change finishes on its own. If your card is declined when a charge is due today, the plan isn't changed — update your card from Manage billing and try again.
Switching never starts a second subscription — you're only ever billed for one plan. These situations stop a switch:
- Switching to Starter while your team is bigger than Starter allows — the confirm window explains how many seats Starter includes and how many you're using; remove members or cancel pending invites first.
- Annual billing with extra seats — extra seats are billed monthly, so a switch that would leave you on an annual plan with extra seats can't be done self-serve — for example, switching to annual billing while you have extra seats, or to an annual plan your team needs extra seats on. The confirm window says "Annual billing with extra seats isn't self-serve yet — contact TED support and we'll switch your plan and seats over for you." Nothing changes on your plan.
- Stripe can't make the change — the confirm window says "Stripe couldn't make this plan change — contact TED support and we'll make it for you." Nothing changes on your plan, and trying again won't help, so there's no Try again button.
- Your plan is managed by TED support — the Switch to buttons are turned off with the note "This account's plan is managed by TED support — contact us to change your plan."
Only the account owner can change the plan
Starting checkout or changing plans is restricted to your org's account owner. If you're an admin but not the owner, Settings > Billing still shows the current plan and status, but the plan picker shows a note asking you to have your account owner make the change instead — there's nothing to click there for you.
Viewing your current plan
Settings > Billing always shows your org's current plan name and status (Trialing, Active, Past Due, or Canceled). While trialing, it also shows how many days are left before the trial ends, plus a line spelling out why nothing is charged yet — something like "Plan $349 − trial credit −$349 = $0 today." Once you're on a paid plan, it shows the date your subscription next renews. If your org hasn't chosen a plan yet — or a previous subscription was fully canceled — you'll see Choose a plan instead.
See Deal and seat limits on your plan for what happens when you hit your plan's open-deal or teammate-seat limit.
AI credits and usage meters
Every plan includes a monthly allowance of AI credits for Ask TED (see Using Ask TED to build or edit an automator) and a monthly allowance of email sends. Settings > Billing has an AI credits & usage card showing both:
- AI credits — your total remaining balance, broken down into this month's included allotment and any purchased pack credits still available (with the soonest pack expiry date, since packs last 12 months). A View credit history link expands a short list of recent grants — monthly resets, pack purchases, and any admin top-ups (bonus credits our team grants your org, e.g. for a promo — shown with the reason, if one was given). Once the included allotment drops to 20% or less remaining, a warning note appears suggesting a top-up.
- Email sends — a progress bar showing sends used against your plan's monthly included amount, turning amber once you've used 80% or more.
While your org is on its 30-day trial, AI credits work a little differently: instead of the plan's full monthly allowance, you get a flat 20 credits, once, for the whole trial — the card and the Ask TED panel both label this "Trial credits." Those 20 credits are never refreshed mid-trial, but you can still buy a credit pack at any time and it adds on top of whatever trial balance you have left. Once your org converts to a paid subscription, the normal monthly allowance for your plan starts — any leftover trial credits stay usable too, they're never taken away.
If your org runs out of AI credits before the month resets, the Buy 100 credits — $19 button (account owner only) charges the card already on file — the one you entered when you started your subscription — and the credits are usable right away, no need to wait for a page refresh. Stripe emails a receipt for the purchase, and it also shows up in your invoice history from the Manage billing page (see "Managing your billing" below), same as any other charge. If your bank wants to verify the payment first, you'll see "Your bank needs to verify this payment — taking you to a secure page to approve it." and land on a secure payment page for that same purchase; once you approve it there, the credits are added within a minute. After you approve it with your bank, come back to Settings > Billing and the credits will be there. Nothing is charged until you finish that page — if you close it without approving, you aren't charged automatically, and buying again starts a fresh purchase. If your card is declined, nothing is charged and that purchase is cancelled; update your card and click Buy 100 credits again. If your org has no payment method on file, buying takes you to a one-time secure checkout page instead. The card you enter there is saved, so your next pack is charged in one click. When you finish paying there, you land back on Settings > Billing with a "Payment received — credits appear within a minute" note; it switches to "your AI credits have been added" as soon as they arrive and the balance updates on its own. If they haven't arrived after about 30 seconds, the note says they're taking longer than expected — your payment still went through, and the note asks you to refresh the page in a few minutes. The same button is also available right in the Ask TED panel when you run out mid-conversation, along with its own low-balance warning once you're down to 20% or less. If you're not the account owner, you'll see a note asking you to have them buy more instead.
Email sends don't have a buy-more button today — if your org is consistently close to its monthly limit, moving to a higher plan raises the allowance (see "What each plan includes" above).
Managing your billing
Once your org has an active or trialing subscription, Settings > Billing shows a Manage billing button (account owner only). Selecting it opens a secure, Stripe-hosted billing page where you can:
- Update your payment method
- View and download past invoices
- Cancel your subscription (effective at the end of your current billing period — you keep access until then)
To upgrade or downgrade, select Change plan on Settings > Billing to open the Choose a plan picker, then select Switch to Starter, Switch to Scale, or Switch to Pro — that's the supported way to change tiers (see "Switching plans" above). Use it even if the Stripe billing page shows a plan option of its own, so your seats and plan limits change together.
If you cancel, you'll be asked for a brief reason — this is optional and just helps us understand why. Extra teammate seats aren't managed from this page; see Deal and seat limits on your plan for how those work. When you're done, you're returned to Settings > Billing.
If your account owner set up billing through TED's support team instead of self-serve checkout, you'll see "Managed plan — contact support" instead of a Manage billing button — reach out to support for any changes.
What happens if your subscription lapses
If a subscription is canceled (or a trial ends without converting), your org doesn't lose anything — it goes read-only. A banner at the top of every page tells you what happened: "Your subscription has ended — your data is safe and read-only. Reactivate to keep working."
While read-only:
- Nothing is deleted. Every deal, contact, task, and message is still there.
- You can still see and export everything — reports, deal detail pages, and CSV exports (including P&L and QuickBooks exports) all keep working normally.
- Editing and creating are turned off — buttons to create a new deal, invite a teammate, edit a record, or change settings are hidden across the app.
- Settings > Billing stays fully usable so you can reactivate. If you're the account owner, the banner's Reactivate button takes you straight there. If you're not the owner, the banner asks you to have your account owner reactivate — there's nothing for you to click.
As soon as the subscription is active again, the banner disappears and every edit affordance comes right back — no re-login or support ticket needed.
