Proof of funds, a buyer's entity paperwork, a vendor's W-9 and insurance, a title company's wire instructions — the Documents card keeps them with the person or company they belong to, so nobody has to dig through email for them.
The card sits on the Overview tab of a contact's profile and a company's profile, in the left column below the person or company details.
Uploading a document
You need edit access to contacts to upload.
- Open the contact or company and stay on Overview.
- In the Documents card, select Upload (or Upload Document if there's nothing there yet).
- Choose a Kind: Proof of funds, Entity docs, W-9, Insurance, Wire instructions, NDA, License or Other.
- If the document lapses, pick the date under Expires (optional).
- Under Files, choose one or more files — up to 25MB each. Every file you pick gets the same Kind and expiry date.
- Select Upload Document (or Upload N Files).
If some files don't make it, the window stays open and lists them. Select Retry Failed to try just those again.
Reading the card
Each row shows the file name, its kind, its size and, when it has one, its expiry:
- Expires Jun 30, 2027 in grey — more than 30 days away.
- Expires in 12 days, Expires tomorrow or Expires today in amber — 30 days or fewer to go.
- Expired Mar 3, 2027 in red — past its date. Upload a fresh copy.
Select a file name to download it. Download links are private to your team and stop working after a minute, so share the file itself, not the link.
Asking TED to read a document
If you can edit the contact or company, each row has Read with TED. It opens Ask TED with the message (for example Read "W-9.pdf" and propose the updates.) typed in; select Send and TED lists what the document says. If any of it belongs in TED it proposes the change as a plan for you to approve — nothing is saved until you select Apply. Each read uses AI credits.
Expiry reminders
When a document has an expiry date, TED sends a Document Expiring notification 30 days before it expires and again on the day, at 8am your team's time. It goes to the contact's or company's owner — or, if nobody owns it (or the owner has left the team), to whoever uploaded it. A document uploaded with less than 30 days left gets its first reminder the next morning.
Reminders arrive in the bell and by email; Slack is off until you turn it on. Selecting one (or Open in TED in the email) opens the profile at the Documents card. See Choosing what TED sends you to change where they reach you.
Proof of funds on a buyer
Uploading a Proof of funds document to a buyer checks off Proof of funds on file on their Buyer verification checklist, with your name and today's date — no need to tick it separately.
Deleting a document
Only team admins can delete a document. Select the trash icon on its row, then Delete Document. This can't be undone.
