Merging duplicate contacts and companies

Last updated 2026-10-13

When the same person ends up in TED twice — "Jerry Mendez" and "Jerry Mendes", say — their deals, texts, buy boxes and reviews are split across two records. Merging folds the duplicate into the record you keep, so there's one Jerry again. Only team admins can merge.

Starting a merge

From a profile:

  1. Open the contact (or company) you want to merge.
  2. Open the ⋯ menu next to Edit Contact (or Add a Person on a company) and select Merge with….
  3. Search for the duplicate and select it.

From the duplicate warning: when you're editing a contact or company and a phone or email you type already belongs to another record, the amber note under it offers Merge into existing next to Open existing. Select it to merge the record you're editing with that one — see When a phone or email is already on your team.

Choosing what to keep

The merge window shows both records side by side.

  1. Keep — pick the record that stays. TED picks the older one for you (it has the longer history), marked older. The other one is archived after the merge, and its link opens the one you kept.
  2. Details that differ — for each detail both records fill in differently (a last name, a mailing address, the owner, notes…), pick the value to keep. The kept record's value is selected to start with. A detail only one record has is copied over without asking.
  3. What moves to ‹name› — the exact list of what comes across: deal roles, offers, showings, texts and calls, emails, phones and emails, company relationships, types and markets, buy boxes and lending profiles, documents, lists, reviews, and the activity history.
  4. Select Merge Contacts (or Merge Companies).

A confirmation names both records and what moved, with a link to open the one you kept.

What happens to the duplicate

Merging can't be undone, but nothing is deleted:

  • The duplicate is archived and marked as merged. Anyone who opens an old link to it lands on the record you kept. A merged record can't be restored.
  • Its deals, texts and calls, emails, buy boxes, documents, reviews and activity now belong to the record you kept.
  • Where both records had the same thing, you keep one copy: the same phone or email, the same type or market, the same list, or both linked to the same company (the relationship is kept; if either was the company's main contact, the kept person is).
  • Do not call, Do not text, Do not email and the deal-marketing opt-out carry over if either record had them on. The earliest text-consent record and the soonest follow-up date are kept, and "last contacted" is the most recent of the two.

A company merge works the same way: its people, phones and emails, types, markets, buy and lending boxes, documents, lists, and the deals it's the title company, lender, lead source or a vendor on all move to the company you keep. If both companies had a main contact, the kept company's stays the main contact.

If something goes wrong

  • "Only a team admin can merge contacts" — ask a team admin to do it.
  • "Restore the archived contact before merging it" — one of the two is archived. Restore it from the Archived view first.
  • "One of these contacts was already merged — refresh and try again" — someone merged one of them a moment ago. Refresh to see where it went.
  • "Couldn't merge these contacts — check your connection and try again" — nothing was changed; try again.
