Merge Candidates lists likely duplicates in the global registry that the system won't merge on its own. It has two tabs: Contacts and Companies.
Contacts
A contact lands here when its email or phone matched two existing identities, so neither was auto-merged.
Each card shows the two identities side by side — their email/phone keys and creation date — with one marked KEEP and the other MERGE. Select Swap if you'd rather keep the other one, then Merge and confirm. This permanently transfers every contact and key from the merged identity onto the kept one; the action can't be undone from the UI (the merged identity row itself is retained in the database, just no longer active).
Companies
Companies are matched by name, so the same vendor entered as "Joey's Cleaning" on one team and "Joey's Cleaning Service" on another becomes two identities. When two differently-named companies share a phone number or a full email address, the pair appears here with a badge such as Same phone (555) 123-4567. Sharing only an email domain (two companies both on gmail.com) is not flagged. Neither is a placeholder or generic value that many companies carry (more than five), such as 000-000-0000.
Each card shows both identities with the companies behind them — company name, team, and how many contact methods it has. The older identity is marked KEEP by default.
- Swap — keep the other identity instead.
- Merge — confirm to combine the two identities. Each team keeps its own company record, name and contact details; only the shared identity and its deal history are combined. A company saved later under either name links to the kept identity.
A pair leaves the list once it's merged. If the two really are different companies that share an office line, leave the pair as it is.
The list loads the newest 200 matches at a time. When there are more, the count at the top shows the full total with a note such as Showing the newest 200 of 450 — the rest load as you merge.
Shared with a contact
Below the duplicates, Shared with a contact lists companies that use the same phone or email as a contact — often a vendor and the person who runs it. This is for review only: a company and a contact can't be merged, and there's nothing to do on these cards.
