Choosing the fields you track on contacts and companies

Last updated 2026-10-12

Settings > Contact Hub > Contact Fields is where admins decide what your team tracks on people and companies, and where each field shows up on their profile pages. Everyone else can open the page and see the fields, but only admins can change them.

Sections

The list on the left has one section for each place a field can live. The number next to each is how many live fields it has.

  • Person — fields on every person, whatever their type. They show in the Person card on the person's Overview tab.
  • General — fields on every person that show on their General type tabs instead (Seller, and any other type without role cards of its own). A person with no General tab sees them in the Person card.
  • One section per contact type (Buyer, Lender…) — fields that show on that type's tab.
  • Company — fields on every company. They show in the Company details card on the company's Overview tab.
  • One section per company type (Title Company…) — fields that show on that type's tab on a company.

The top of each section says where its fields show. Only active types get a section. On Settings > Contact Types and Company Types, a type's ⋯ > Manage Fields → Contact Fields opens this page on that type's section.

Adding a field

Pick a section, then select the teal Add Field button and fill in:

  • Label — what the field is called on the profile, such as Spouse name or EIN.
  • Key — how imports and merge tokens refer to the field. Leave it blank and TED makes one from the label (Spouse name becomes spouse_name). You can change it until someone saves a value in the field; after that it's locked so nothing that uses it breaks. It also can't change while another field's show-when rule uses it — the message names that field, so change or turn off its rule first. Two fields can't share a key on the same person or company (Person and General fields count as one set), and a key can't reuse a built-in field's name, such as birthday.
  • Type — text, number, currency, date, dropdown, multi-select, checkbox, link, email, or phone. It can't change once the field exists.
  • Options — for a dropdown or multi-select, type each choice and press Enter.
  • Help text — an optional tip shown under the field.
  • Required — marks the field as one to fill in. It never blocks saving; an empty required field reads "Needed — not filled in yet".
  • Show on General tabs (Person and General fields only) — turn it on to move a person field to the General tabs, off to keep it in the Person card.
  • Only show this field conditionally — hide the field unless another field has a certain value: pick the field (a dropdown, multi-select, or checkbox in the same place, or a person's Preferred channel or Preferred cadence), a condition, and the values. The sentence under it reads the rule back, such as "Shown when Married is on".

Select Add Field to save it. Use a row's ⋯ > Edit to change it later, then Save Changes.

Archiving a field

Select a row's ⋯ > Archive to stop using a field. It disappears from every profile and form, but the values people already saved are kept. Archived fields sit under Archived at the bottom of the section — select it to show them, and use ⋯ > Restore to bring one back with its values.

Filling the fields in

Person and company fields are filled in right on the profile: select the pencil next to a field, enter the value, and select Save ⟨field⟩. See Viewing a contact and Viewing a company. A type's fields are filled in from Edit Contact or Edit Company, as before.
