Assigning vendors to a deal

Last updated 2026-10-26

The Employee tab's Assigned Vendors section (below Assigned Employees) lists every contact or company attached to the deal in a service role, with a form below to add more.

Vendors that show up automatically

You don't have to add someone here twice. If a contact or company is attached anywhere else on the deal — a showing's buyer or runner, an offer's buyer, the Title Company field (or its point of contact) on Deal Facts, or a JV Partner on Disposition — they're added to this list automatically, with a small badge showing where they came from ("via showing", "offer buyer", "title company", "JV partner"). Vendors added through the automator show a "via automator" badge; vendors added by hand through the form below carry no badge.

If the same contact or company is attached in more than one place, only one row is kept — whichever attach point happened first. Removing them from that original spot (e.g. deleting the showing) doesn't remove them from the vendors list; use the trash-can icon here if you want them gone entirely.

The title company is the exception, because a deal has only one. The Title Company on Deal Facts is always listed here as a title company vendor — whether you set it, an automator set it, or it came in with an import. When the deal's title company changes or is cleared, the old company's "title company" row is removed. If someone added notes to that row, or the deal has an expense paid to that company, the row stays as a regular vendor instead (no badge, no longer the title company). Vendors you added by hand are never removed.

It works the other way too: add a vendor here with your title company type on a deal that has no title company yet, and it becomes the deal's Title Company on Deal Facts (with the contact you paired, if any, as its POC). A deal that already has a title company keeps it.

A vendor who was added automatically with no type doesn't get listed twice when an automator later adds them with one — the automator gives the existing row its type. A row you added by hand is never changed that way.

If you're asked "Which company are you working with?" while picking a showing's buyer/runner, an offer's buyer, or a JV partner (same prompt described below for the Vendor field), the company you pick is carried through into this list too — the auto-added row shows as "Contact Name (Company Name)," same as a pairing you made here directly. The Title Company POC picker on Deal Facts always resolves to a contact at that company already, so its row is paired automatically with no extra prompt.

Adding a vendor

Select the Vendor field and, before you type anything, it lists the contacts and companies that cover the deal's market under In market — set to Nationwide, or with that state or metro among their markets — then Out of market (the first 25; type to find the rest). Each row shows whether it's a contact or a company, its types, its company and phone. The market is the Filter by market selection, seeded to your deal's market (state and, when it matches, metro); clear it for one alphabetical list. Type a name, company, email or phone number to search.

Pairing a contact with their company

If the contact you pick has a company linked to their profile, TED asks "Which company are you working with?" before finishing the attach — pick the company, or select "No company — personal" if you're working with them directly. If the contact has more than one linked company, all of them are listed as options. Picking a company attaches the pairing as one vendor entry, shown as "Contact Name (Company Name)"; picking "No company — personal" attaches just the contact, same as before.

If you pick a company instead, the field shows the company's name with "picking contact…" beside it, and TED asks "Which contact at (company)?" Choose one of the company's existing contacts from the list, or select Create new contact to add one on the spot; either way, the new pairing is linked to that company's profile so it shows up there too. If you don't need a person, select Use company only at the top to attach just the company. When the company has no contacts yet, TED says so and Use company only is the main button. If the contacts can't load, you'll see an error with Retry — Use company only still works.

Creating a vendor that isn't in TED yet

If the search doesn't find them, select Create new contact or company, choose Contact or Company, and fill in a name plus an optional email and phone.

If that email or phone already belongs to a contact or company on your team, TED shows an amber note instead of creating a second record — for example, "Carter Plumbing already has this phone". Select Use existing to attach that contact or company as the vendor (nothing new is created), or Create anyway to add the new one regardless. A match can be the other kind of record: creating a contact whose phone is a company's main line names the company. When you're adding a contact to a company you've already picked, only people are matched. If the same record has both the phone and the email you typed, you get one note ("…already has this phone and email"). While the note is showing, Create is unavailable — pick Use existing or Create anyway.

After the vendor (or pairing) is selected, pick a Type — the dropdown groups the contact's own existing types first, then other contact types, then company types, so the most likely match is at the top.

Select Add. If the vendor didn't already have the type you picked assigned to their profile, TED adds it for you automatically.

Removing a vendor

Select the trash-can icon on their row and confirm.
